Water treatment

Water treatment firm cut its filter maintenance appointments from $21 to $7.5

A water treatment company that used to buy filter maintenance appointments at $21 each now creates the same appointments with AvaritCall's voice assistant for $7.5. The same job at one-third of the cost, with the assistant able to reach hundreds of thousands of people in a single day (campaign capacity depends on the plan).

Starting point

A water treatment company was buying its filter maintenance appointments from outside: each appointment was produced by a third party and handed over to the company, at $21 per appointment. The company stays anonymous in this story; the video introduces it only as "a water treatment company that buys its filter maintenance appointments externally".

The same price had to be paid again for every new appointment; the company was looking for a way to do the same job at a lower cost and for a wider audience.

What the assistant does

Today the same appointments are created by AvaritCall's voice assistant. In an outbound calling campaign, the assistant calls the person, agrees a suitable day and time in conversation and creates the appointment. The output is the same as a purchased appointment: person, day and time are set; the team only has to go and do the maintenance. A separate appointment supplier is no longer needed for this job. Call transcripts are logged in the panel and can be followed via push notifications in the iOS app; calendar and CRM integrations are connected per setup.

  • Calls the person, agrees a suitable day and time in conversation and creates the appointment.
  • Cost per appointment: $7.5, roughly one-third of a purchased appointment.

Campaign scale is not tied to team size: the assistant can reach hundreds of thousands of people in a single day (campaign capacity depends on the plan). The appointment stops being a service bought one by one and becomes the output of a calling campaign run by the assistant.

Outcome

Cost per appointment fell from $21 to $7.5. The same job is now done at one-third of the cost; what used to pay for a single appointment now produces roughly three. The output has not changed: still a person, a day and a time. What changed is how the appointment is produced and at what price.

  • Cost per appointment: $21 → $7.5
  • Same job, one-third the cost

The difference is not only in unit cost: appointments are no longer bought from outside; the company plans the campaign itself.

What people still do

The assistant creates the appointment; the maintenance itself and the parts of the customer relationship that require judgement stay with the team. In this story the assistant's role is limited to producing appointments; the items below remain the team's job. When one of these topics comes up during a call, the assistant hands the call over to the team together with its context.

  • Replacing filters and carrying out the maintenance on site: the technicians' job.
  • Decisions on warranty coverage and on add-on product and package offers.

As in every case, pricing negotiations and complaint handling stay with the team.
